Terms of Service

Acceptance of Terms

By downloading, installing, or using the Employee Roster WordPress plugin ("the Plugin"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not install or use the Plugin. These Terms form the entire agreement between you and EmployeeRoster.io regarding your use of the Plugin.

Free Version

A free version of the Plugin is distributed through the WordPress Plugin Directory at wordpress.org/plugins/employee-roster under the GPL, at no charge and with no licence key. It supports unlimited employees, departments, locations, and shifts, and is not time-limited. It has no manager or supervisor role; the roster is managed by the site's own WordPress Administrator account. The free version is a separate distribution from the paid plans described below; the paid features listed in these Terms and on our website are not part of it.

Licence & Paid Plans

The paid version of Employee Roster is made available under an annual software licence. The following plans are available:

  • Starter: $99 per year, 1 site. Dedicated Manager and Supervisor roles, allowing roster management to be delegated to staff members without granting them WordPress Administrator access, plus attendance, leave management, copy roster, and the analytics dashboard.
  • Professional: $199 per year, 1 site. Everything in Starter, plus supervisor pay rate visibility, shift swap requests, PDF roster export, and the public roster shortcode.
  • Business: $599 per year, 5 sites. Everything in Professional across up to 5 separate WordPress installations.

Each licence is valid for the number of WordPress sites specified in the purchased plan. Licence keys are non-transferable and may not be used on more sites than the plan permits.

Your Responsibilities

You are responsible for:

  • Maintaining a compatible WordPress environment (WordPress 5.8 or later, PHP 7.4 or later, MySQL 5.7 or later).
  • Securing your hosting environment, server, and WordPress installation against unauthorised access.
  • Creating and maintaining regular backups of your database and plugin files.
  • Ensuring that your use of the Plugin complies with all applicable laws, including any data protection or employment laws that govern the employee data you store within the Plugin.

EmployeeRoster.io is not responsible for data loss, security breaches, or any other incidents arising from your hosting environment or WordPress configuration.

Intellectual Property

The Employee Roster plugin, including all source code, design, and documentation, is the intellectual property of EmployeeRoster.io. Your licence grants you a limited, non-exclusive, non-transferable right to install and use the Plugin on the permitted number of sites for the duration of your active licence. You may not redistribute, resell, sublicense, or modify the Plugin for distribution without prior written permission from EmployeeRoster.io.

Disclaimer of Warranties

The Plugin is provided "as is" and "as available" without warranty of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. EmployeeRoster.io does not warrant that the Plugin will be error-free, uninterrupted, or free of security vulnerabilities. You use the Plugin at your own risk.

Limitation of Liability

To the maximum extent permitted by applicable law, EmployeeRoster.io shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, loss of data, business interruption, or system failure, arising out of or in connection with your use of or inability to use the Plugin, even if EmployeeRoster.io has been advised of the possibility of such damages.

EmployeeRoster.io's total cumulative liability to you for any claims arising under these Terms shall not exceed the amount you paid for the Plugin licence in the twelve months immediately preceding the event giving rise to the claim.

Refunds

You may request a refund within 14 days of your original licence purchase if the Plugin does not function as described on this website and the issue cannot be resolved by our support team. To request a refund, contact us at support@employeeroster.io with details of the problem. Refunds are processed via Freemius and may take several business days to appear in your account.

Refunds are not available after 14 days from the date of the original purchase, for licence renewals, or where the Plugin has been used without issue and the refund request is based on a change of mind.

Changes to These Terms

EmployeeRoster.io reserves the right to update or modify these Terms of Service at any time. Where changes are material, we will make reasonable efforts to notify users via the plugin dashboard or this website. The date of the most recent revision is shown at the top of this page. Continued use of the Plugin after notice of changes constitutes your acceptance of the revised Terms.

Governing Law

These Terms of Service are governed by and construed in accordance with the laws of New South Wales, Australia, without regard to its conflict of law provisions. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of New South Wales, Australia.
